Scarf Report

At the end of every term, I send a file called a Scarf report (Student Centralized Administrative Reporting File) to the Institutional Research Division of the Oregon University System. Institutional Research uses this data to develop analytic models for OUS universities for budget, enrollment, faculty salaries, legislative presentations, policy development for the Chancellor’s Office, and numerous publications. The report consists of 16 different sections from data collected in the Student Information System at WOU. Listed below are the sections that make up the report.
1: Registration
2: Student
3: Advanced Credit
4: High School Subject
5: Prior College
6: Sport
7: Staff Benefit
8: Test
9: PASS
10: Financial Aid
11: Financial Aid Category
12: Section
13: Instructor Assignment
14: Section Meeting Times
15: Degree
16: Cohort Exclusion

Each section is identified by a special tag similar to html code and separated by a pipe character “|”. The file is created by running the “SCARF” job submission in banner with the term you want to report on and other appropriate parameters. The file is then created in the spool directory and ready to transfer to OUS. After the report is sent, I’ll receive a report from Institutional Research that summarizes the data that was in the report and any errors or potential problems that need to be fixed before the data is sent as final.
