Department of Revenue process

I ran into a problem this week where a student's record was not being updated correctly from the department of revenue script (swbrdor.pl). I suspect that the ftp transfer did not correctly update the reconciliation file when I copied it over last time. From now on, I'll delete the existing file before I transfer a new file. I ran into a similar problem before when I transferred updated scripts via ftp and for some odd reason, the scripts are not updated and/or get corrupted. Deleting the existing file seems to fix the problem.

Licenses and Endorsements

I met with Institutional Research and College of Education about Licensures and Endorsements and the way they are entered into Banner. It seems that the way we have them in Banner does not correctly identify when a student received their initial license or continuing license. I'll be working with the registrar's office to see if we can have effective dates posted to the shatcmt record when they enter these so we can match by date. We'll be able to answer questions such as "How many initial licenses did we recommend for the year?".

Curriculum problem

The curriculum problem we had a few months ago resurfaced again after we found some errors in the data warehouse that may have been caused by the backfill issue. We have a workaround for the curriculum problem but it only fixes the problem for students that are identified (usually when the curriculum is being updated and you get an error). I'm working with OUS to see if there's another way we can fix these records through a script.

New report: SZRHCFT

I created a new job submission for the health center called SZRHCFT. This is a list of full-time students ( admitted in a prior term ) that do not have immunizations in Banner. The input is term code and output is vnumber,name and address.

OUS second week report

I made a change to the OUS second week report because it was not reporting first time non-admits correctly. The totals for each student level (first time undergraduates,all other undergraduates and masters) now add up correctly.

Tuition promise update

I did a non-standard update to the sarchrt table and inserted a cohort code for students that should of had a tuition promise cohort code. There is a trigger on sarappd that inserts the cohort code when a student is admitted. I think these students were originally admitted as non-residents so they never received a cohort code. I'll be working with the banner team to figure out a new way to update these students when their residency changes.

Ethnicity Survey

HR and Admissions decided to go with the basic five categories for race. I put a link on the survey that clarifies the race categories we will use. These changes are now in production. We are planning to go live with the survey starting May 1st.

SWAROUS and SZRAWOU

I put a new version of SWAROUS into production today and renamed the old SWAROUS to SZRAWOU. SZRAWOU still has the ethnicity breakdown for first time freshman ( this will need to be updated to the new ethnicity/race tables).

TZPFAID - reversing aid posted in Banner

I created a new script named tzpfaid_reverse.pl that will reverse aid that was double loaded into Banner from TZPFAID. It will accept the same file that tzpfaid uses (these are created from Powerfaids). A reverse entry will be inserted into Banner for every aid record in the file. Use this script with caution!!!

Clearinghouse Academy

I went to the Clearinghouse Academy on Tuesday and I learned quite a bit about how their services work. I've been sending the enrollment and degree files to them for a long time now and never really understood how the information was used. Now I have a much better understanding how it all works. We currently use the Core service (automated enrollment verifications & deferment reporting), EnrollmentVerify (online enrollment verifications),DegreeVerify (online degree verifications),Student Self Service (online enrollment certificates and loan info),StudentTracker (Institutional Research), and Transcript Ordering. They have a new service, Electronic Transcript Exchange, that may be useful to WOU. It's similar to our EDI transcript process except it includes out of state and high school transcript exchanges.
