Specific Policies and Procedures

 

Cancellation

  • It is your responsibility to notify ODS if you will not be attending a class meeting or event for which you have requested an interpreter or a note taker. ODS needs to receive 24 hours advance notice that you will not be at your class.

No-show

  • Interpreter Services
    • Interpreters will wait outside the classroom for 15 minutes or 30 minutes for three hour classes. If you do not show up, the interpreter will immediately return to the ODS office and complete Cancellation/No-show documentation. The interpreter may take another assignment.
    • If you miss the same class three times without sufficient notification, the support service (interpreter) will be canceled until arrangements are made with the Director of ODS.
  • Note Taking Services:
    • If you do not attend class, your note taker will notify ODS using a special two-part form. You will receive a copy of the form in your mailbox instead of the notes for that class period. If you believe that the information is not correct, please notify us. Your notes will be held until you explain why you missed class. If your absence was justified (as determined by ODS), the notes will be given to you. If your absence is unjustified (for example, you choose to skip class), your notes will be destroyed.

Interpreter No-show

  • If your interpreter or note taker does not show up for an assignment, you should contact ODS as soon as possible. If there is another service person available, they will be sent as a substitute. ODS will follow up with the employee concerning the "No-show" and take appropriate action.

No-show Notification

  • Any Notification of Cancellation that comes into the office less than one hour before the class time will be considered a no-show and will be documented as such. ODS can be reached 24 hours a day and weekends at (503) 838-8250 (voice/TTY) or by e-mail
  • If you have extenuating circumstances regarding not being in class or not being able to contact the office in a timely manner to cancel services, please discuss them with the ODS Director.
