Equipment Rental

Rental Policies
The Outdoor equipment rental program exists to serve the WOU population. In order to rent equipment individuals should have current access to the HWC or be prepared to present a current WOU ID Card. Without of proof of affiliation with WOU, equipment will not be rented.
Reservations:
- Equipment reservations may be made up to 10 days in advance and no less than 48 hours in advance by emailing Melissa Ineckineckm@wou.edu with the reservation request including specific rental equipment and dates. A confirmation reply email will indicate the rental reservation has been placed and will include equipment price, check-out, and date information. Once the reservation is confirmed, equipment may be checked out during HWC hours of operation.
- While the HWC front desk can provide general information concerning rentals, these staff members are not able to take rental reservations . Available equipment may be rented without a reservation at the HWC front desk.
Check-out:
- Equipment may be rented at the HWC front desk during any open hours, upon availability of that equipment.
- A check out sheet will be completed upon rental and return.
- Individuals will be required to sign a release that includes a statement indicating it is the renter’s responsibility to know how to properly use, operate, secure and maintain the equipment.
- Individuals should allow adequate time for larger rentals. Please allow 30 minutes for the larger packages, such as tents. For smaller rentals please allow 15 minutes.
Payment:
- Payment in full must be made in order to check-out the rental equipment. Payment of cash or check is accepted at the HWC front desk. If the rental equipment is not picked up by day 1 of the reservation, the reservation is null and void and the equipment becomes available for other users.
Check-in:
- All rental equipment must be returned by 11:00AM on the last day of the rental.
- Individuals should allow adequate time for larger rental returns. Please allow 30 minutes for the larger packages, such as tents. For smaller rentals please allow 15 minutes.
Late Fees:
- If the equipment is not returned by 11:00AM on the last day of the rental, an additional daily rental fee will be added to the renter’s WOU account until the equipment is returned or until the additional daily rental fees equal the replacement cost of the unreturned equipment.
- An email notice will be sent out informing the renter the equipment is late and that late fees are being incurred on their account.
- If the equipment is not returned within 30 days, the replacement cost of the unreturned equipment will be charged to the renter’s account rather than the accumulated daily late fees.
Damage/Replacement Fees:
- If the equipment is damaged upon return, the cost of the repairs will be assessed and charged to the renter’s account. If the equipment is irreparable or missing items are not returned the cost of the replacement value of the equipment will be charged to the renter’s account.
- It is the responsibility of the individual to ensure they have adequate transportation and in some cases, storage, for the equipment.
Rental Restrictions:
- An individual can only rent equipment for themselves and two (2) other individuals. Rentals larger than this require additional renters.
- Equipment is allowed to be checked out for up to 21 days.

Ski Bus - Mt. Hood Meadows
Date: Saturday, January 28th
Information: Residence Hall students sign up at the RSC. All other students will need to sign up at the Campus Recreation office located in the Health and Wellness Center.
Fees: You will be required to pay for the bus when signing up. Bus is $12. Lift ticket and rentals are your responsibility and will need to be paid to Mt. Hood Meadows.
Ski Bus - Timberline
Date: Saturday, February 11th
Information: All students will need to sign up at the Campus Recreation office located in the Health and Wellness Center.
Location: You will be required to pay for the bus, lift ticket and rentals when signing up. Bus is $12; Lift ticket is $55; Ski/boots/poles are $25/$27/$30; Snowshoes and lift ticket are $35; Snowshoes only are $20; Helmet is $10
Ski Bus - Hoodoo
Date: Saturday, March 3rd
