The ODOT-TSD "John L. Harvey" scholarship continues to be available for those providers and instructors who might need additional travel assistance. These funds are limited and available on a first-come, first-served basis.

How does the "John L. Harvey Scholarship" benefit you?

 

If you live between 0-49 miles from the conference location:

  • Low conference and workshop fees

If you live between 50-299 miles from the conference location:

  • Low conference and workshop fees
  • One night free lodging at the DoubleTree Hotel, Portland (Friday, March 2)

If you live at least 300 miles from the conference location:

  • Low conference and workshop fees
  • Two nights free lodging at the DoubleTree Hotel, Portland (Friday, March 2 & Saturday, March 3)

If you work for an ODOT-approved provider and live at least 150 miles from the conference location:

  • In addition to above, there is a $50 travel stipend available to apply toward travel expenses.

NOTICE: Travel Stipends for out-of-state attendees is no longer available

All attendees who live at least 50 miles from the conference location may apply to receive free lodging on the night of Friday, March 2. Attendees who live at least 300 miles from the conference location may apply to receive free lodging on Friday and Saturday nights. Attendees wishing to receive free lodging must fill out the Lodging & Travel Benefit Application and complete an IRS Form W-9. If you received travel benefits for the 2011 conference you do not need to submit another W-9, but you do need to submit an application. The application must be received by WOU no later than January 27, 2012. If your application for free lodging is approved, WOU will reserve your room. You do not need to make your own reservations.

 

In the event that you are unable to attend the conference, you must contact WOU by mail or email. If cancelation is sent via mail service, it must be postmarked no later than Wednesday, February 22. If the cancelation is sent via email, it must be sent to extend@wou.edu by 5pm on Wednesday, February 29.

 

Cancelations will NOT be accepted by phone. If you do not attend the conference and fail to cancel your hotel reservation by the above date, WOU will invoice you for the full lodging expense.

 

Employees of ODOT-approved providers who live at least 150 miles from the conference location may also apply for a $50 travel stipend to apply toward fuel, meals and other travel expenses. Funding for travel stipends is limited, and will be awarded in the order that completed applications are received. Attendees wishing to receive a travel stipend must fill out a Lodging & Travel Benefit Application and complete an IRS Form W-9. Travel stipends will be distributed at the conference to recipients who present valid photo ID.

 

NOTE: Funding for travel benefits is limited and will be allocated on a first-come, first-served basis. Submission of a Travel Benefit Application does not guarantee that you will receive free lodging and/or a travel stipend.

 

The distance between an attendee's residence and the conference location will be established via www.mapquest.com. If your employer is paying your conference travel fees, they can apply for your travel stipend. Individuals who are receiving employer reimbursement for travel expenses are not allowed to apply for a travel stipend. For all applicants, Western Oregon University will contact employers to verify who is responsible for travel expenses.
